Job description

This hybrid position provides administrative support to a robust, experienced team of advertising professionals who work on a variety of advertising initiatives. Entry level experience working in advertising on the agency or client side is required. Candidates should have excellent attention to detail, strong Microsoft Suite skills, and a great “can do” attitude.

IN THE ROLE YOU WILL:
Ensures the successful completion of all assigned tasks in support of Advertising activities.
Ensures that colleagues on the Advertising team receive the administrative support they need
while implementing print, digital, television and outdoor media plans.
Ensures that invoices are compiled and processed efficiently.
Ensures that files and records are maintained and that data is entered correctly.

Management of company media planning tool (MPT)
o Inputting campaign media plans and creative rotations into database
o Assisting in reporting data out of MPT database
o Ensuring all media plans and copy rotations are submitted to Geneva and validated in a timely manner
• Monitoring all media plans
o Ensure digital assets are running as planned and that contextual environment is brand safe/appropriate upon launch and throughout flight
o Gather screenshots of live activity
o Ensure digital media tags are firing correctly
o Ensure accuracy of all creative rotations across all media inclusive of print, TV, digital and OOH media
• Media plan execution
o Reviewing and submitting all TV traffic for networks
o Checking digital preview links
o Issuing Insertion orders to all direct vendors/partners (OOH, print, digital, audio, cinema)
o Liaising with digital vendors to receive and confirm accuracy of digital user journey documents
o Ordering creative materials and communicating with creative agency to ensure timely delivery of materials
• Ensure all campaign reporting is received in a timely manner directly from vendors
• Actively learning about and contributing to watch/jewelry industry research, trends, and competitive information
• Liaising with media vendors to set up informational meetings and providing thoughtful analysis of application to the brand
• Updating internal tracking spreadsheets pertaining to print, digital and TV media plans.
• Contribute to completion of powerpoint presentations summarizing key campaigns.
• Communicating with media agency and media vendors.
• Performing administrative tasks such as scheduling meetings and updating internal contact lists
• Manage sports plan tracker with Agency
• Liaise with AdOps team/Agency to ensure plans are received and being processed as ordered.


MUST HAVES:
Strong written and oral communications skills
Relevant computer skills – Microsoft outlook, Excel, and PowerPoint
Strong organizational and interpersonal skills
Ability to manage time and multiple projects effectively
Excellent attention to detail
BA degree
1+ years’ experience working in media and media planning
