Job description
Our agency client is looking to bring on a Sr. Integrated Project Manager to their team on a contract basis. The role is hybrid (1x a week) in Chicago.Responsibilities:
- Scope projects with detailed deliverables, assumptions, roles, and hours required for AD review.
- Secure resourcing decisions post-SOW and collaborate with the Creative Resource Manager for contractor support when needed.
- Keep project management tools updated for accurate resource forecasting.
- Develop and maintain project plans, aligned with the IDEAS process, while keeping both internal and client-facing versions in sync.
- Proactively address project changes or delays and prepare change orders to document timing, financial, or deliverable deviations.
- Continuously monitor and update project statuses, ensuring clarity for the team and clients.
- Lead internal status meetings, clearly communicate priorities, and ensure actionable next steps for all team members.
- Coordinate key project milestones, such as internal reviews, and provide continuous oversight for successful execution.
- Act as the "eyes and ears" of the project, ensuring teams stay on track with deadlines and tasks, while swiftly addressing any risks or issues.
- Ensure all financial inputs are accurate and aligned with the SOW in project management tools.
- Monitor budget burn and flag issues to the Account Director in real-time.
- Adjust financial projections based on shifts in scope or project changes, ensuring accurate weekly/monthly reporting.
- Partner with the Account Director to optimize workflows, enhance client satisfaction, and support account growth.
- Serve as a direct line of communication for clients when AD involvement is not required, handling document requests, assets, and routine inquiries.
- Proactively suggest process improvements to optimize project delivery and maintain strong client relationships.
- Own and maintain data accuracy in project management tools, powering critical resourcing and staffing decisions.
- Ensure reliable data for earned revenue forecasting and make month-end closeouts smooth for finance and account teams.
Requirements:

5+ years of project management experience in an agency or integrated marketing setting, managing complex, multi-discipline projects.
- Strong organizational skills, with an eye for detail and the ability to manage competing priorities.
- Exceptional communication skills, both written and verbal, with the ability to clearly articulate project plans, scope, and changes to clients and teams
- Expertise in project management tools like Asana, Wrike, or similar platforms, with proficiency in maintaining data integrity and resource forecasting.
- Solution-oriented and proactive, with the ability to anticipate potential risks and address them before they become issues.
- A collaborative team player who takes ownership of both successes and challenges, fostering a positive team environment.
- Commitment to following established project management processes, while continuously looking for ways to improve workflows.
- Comfortable using AI tools to streamline tasks, improve efficiency, and drive clarity on project deliverables.
